How to Create Credit Note?

Follow these steps to create a credit note in the system:

Step 1: Open the Credit Note Form

Navigate to the Credit Note section in the DAAI Business Suit.

You’ll see a form titled “Credit Note” Click on “Add” Buttons.

Step 2: Fill in Credit Note Details

Invoice Number: (If you select the invoice number, invoice details will be auto-filled with payments of invoice)

Select the relevant invoice from the dropdown to link the credit note.

Date: Enter the credit note date in the format dd/mm/yyyy.

Description: Add a short description explaining the reason for the credit note (e.g., “Overpayment adjustment” or “Discount offered”).

Step 3: Add Billing Items

Review the Billing Items table, which lists all chargeable items from the invoice.

Example: Developer’s Charges.

Verify or update the following for each item:

Net Amount: The base amount before taxes.

Tax Fields (CGST, SGST, IGST): Ensure the correct tax percentages and amounts are applied.

Total Amount: Automatically calculated as Net Amount + Taxes.

Step 4: Review Totals

Confirm the subtotals:

Net Amount, Taxes, and Grand Total.

Example: Grand Total = ₹56,000 (₹50,000 + ₹6,000 IGST).

Ensure the Unpaid Amount is accurate if applicable.

Step 5: Save the Credit Note

After reviewing all details, click the “Save” button at the top right corner to finalize the credit note.

You can now access this credit note for adjustments or recordkeeping.

Additional Notes :

  • Ensure the Invoice Number is correct to apply the credit note to the right transaction.
  • Use the Description field to provide a clear explanation for future reference.
  • Verify all taxes (CGST, SGST, IGST) to avoid calculation errors.
