How to Create Leads ?

Step-by-Step Guide to Creating a Lead :

Step 1: Open the Lead Creation Form

Log into the DAAI Business Suit.

Navigate to the Leads section from the sidebar menu.

Click the “Add” button to open the lead creation form.

Step 2: Fill in the Lead Details

The form includes several fields to capture important lead information. Follow the steps below:

  1. Date: Enter when you’re creating the lead or the date of first contact.
  2. Lead Source: Choose the origin of the lead (e.g., Website, Social Media, Referral) from the dropdown menu.
  3. Lead Owner: Select the team member responsible for managing this lead from the dropdown list.
  4. Personal Information:

First Name: Enter the lead’s first name.

Last Name: Enter the lead’s last name.

Designation: Input the lead’s role or job title (e.g., Manager, CEO).

Company Information:

Company Name: Enter the name of the lead’s company or organization.

Company No.: Add the company’s official registration number, if applicable.

Tax ID: Enter the company’s tax identification number.

Contact Details:

Phone No.: Input the lead’s main contact number.

Cell No.: Add an alternate mobile number.

Email: Enter the lead’s primary email address.

Alt Email: Add a secondary email address for backup communication.

Web: Provide the company’s website URL, if available.

IM: Enter an instant messaging ID (e.g., Skype, Teams), if applicable.

Address Information:

Street: Enter the lead’s street address.

City: Input the city.

Postal Code: Add the area’s postal/ZIP code.

State: Specify the state.

Country: Select the country from the dropdown menu.

Attach Documents

If you have supporting documents (e.g., contracts, proposals, or notes), click the Upload Documents button to attach them to the lead.

Step 3: Save the Lead

Once all fields are completed, review the form to ensure accuracy.

Click the Save button (usually at the top-right or bottom of the form).

A confirmation message will appear once the lead is successfully saved.

Step 4: Convert a Lead to a Prospect or Opportunity

Once the lead is created, you can easily convert it into a prospect or opportunity from the Leads Grid:

Navigate to the Leads Grid: Return to the Leads section to view the list of all leads.

Each lead is displayed as a row in the grid.

Locate the Action Button: In the grid, find the lead you want to convert.

Look for the Action button (often represented by a Arrow Icon).

Click on the Action Button: Select the Convert to Prospect/Opportunity option from the dropdown menu.

Details Auto-filled: A new form will open, automatically populated with all the lead’s details from the original form.

Review the autofilled data for accuracy and completeness.

Finalize the Conversion: Add any additional details specific to the prospect or opportunity (e.g. Lead stage, Status, etc,.).

Click Save to complete the conversion process.

Status Update: Once saved, the lead is updated in the system as a prospect or opportunity, ensuring seamless tracking for your sales process.

Pro Tips for Lead Creation

  • Mandatory Fields: Pay attention to fields marked with a red asterisk (*). These are mandatory and must be filled in to save the lead.
  • Auto-Fill: Some systems may auto-fill repetitive fields like the date—double-check them to avoid errors.
  • Consistent Data: Use proper capitalization and consistent formatting for names, email addresses, and addresses.
