Create, Edit, Delete Prospect

➕ Create Prospect

Type 1: Convert from a Lead

Follow these steps when converting a Lead into a Prospect:

  • Go to the Leads grid (CRM > Leads).
  • Tick / select the lead(s) you want to convert.
  • As soon as you select a lead, the Action dropdown appears at the top of the grid.
  • From the dropdown, choose Convert to Prospect.
  • The conversion form opens. Fill in:
    • Prospect Type — Hot, Warm, Cold, or DND.
    • Follow-Up Status — Pending, No Response, Contacted, Qualifying, Not Interested, Client Not a Fit, or No Budget.
    • Next Follow-Up Date — when you plan to contact the prospect again.
  • Click Save. The selected lead is instantly converted into a Prospect and removed from the Leads list.

Type 2: Create a Prospect Manually (without creating a Lead first)

  • Go to the Prospects module.
  • Click Add in the top-right.
  • Fill all required fields (Inquiry Date, Last Follow-Up, Designation, Contact Info, Company info, address, etc.). At least one contact channel is required.
  • Optionally tick the qualification checkboxes:
    • Client Needs Our Service/Product
    • We Can Serve the Client
    • Client Has the Budget
  • Click Save.

If all 3 qualification checkboxes are ticked at Save time, the system prompts you for Estimated Cost and Project Description, then auto-converts the prospect into an Opportunity.

✏️ Edit Prospect

  • Go to the Prospect grid or Kanban view.
  • Click on the prospect record to open the detail aside.
  • Click the Edit button (top-right of the aside header).
  • Update the necessary fields.
  • Click Update.

Changes are recorded in the Change Log / Activity Timeline for audit and tracking.

Remember: if all 3 qualification checkboxes get ticked during this edit, the prospect will be auto-converted to an Opportunity (with the Estimated Cost / Project Description prompt).

❌ Delete Prospect

  • Go to the Prospect grid and open the prospect.
  • Click the red Delete button in the aside header (or via the action menu in grid).
  • Confirm deletion in the pop-up dialog.

⚠️ Deleting a Prospect removes it permanently from the system. Use with caution. Only users with the Delete permission on the Prospect module see this button.

Lead Source — Choose how or from where you got this lead (Website, Social Media, Referral, WhatsApp, etc.).
Lead Owner — Select the employee or team member responsible for handling this prospect.
Last Followup Date — The most recent date when someone from your team contacted or followed up with this prospect. Helps track past communication.
Next Followup Date — The planned date for your next follow-up. Set this so you or your team don’t miss the next call, message, or meeting.

🎯 Prospect Source Dropdown

  • The Prospect Source Name dropdown helps you track where a prospect originated (e.g., Cold Call, Email Campaign, Trade Show).
  • You can add, edit, or delete Prospect Source values from Settings > Dropdown Settings (pick the Prospect category and edit its Prospect Source Name options).

ℹ️ Note: You cannot delete a Prospect Source value if it’s already linked to existing prospects. However, editing it will update the name system-wide, including on past records.
